Team management
For: Organisation owners, and team members with the Manage team permission Where to find it: Sidebar → your organisation name → Team
The Team page is where you invite colleagues to join your organisation on Tourium, set their roles and what they can use, and remove people when they leave. You need the Manage team permission to see it — Owners and Super Admins always have it, and Admins get it by default.
What you'll see
- The invitation form at the top of the page.
- Team Members — each person's name, email, role, 2FA Status (2FA or No 2FA) and a summary of what they can use (Full access, or a count of features).
- Pending Invitations — people you've invited who haven't accepted yet.
- Transfer ownership — shown to the Owner, beside the tabs.
Common tasks
Invite a team member
- In the invitation form, enter their First name, Last name and Email. You can also add a Company function and Job title.
- Choose a Role. For Admin and Basic User, the form shows which features that role starts with.
- Click Add more to invite several people at once.
- Click Send Invitation.
Tourium emails each person an invitation with a signup link. They click it, create their account, and they're added to your team.
Admin and Basic User are restricted roles from the Team Controls add-on, which is charged per restricted member. The form tells you what choosing one will cost before you send. If your organisation has nothing to bill against yet, you're taken to a secure checkout first, and the invitations go out once the payment is confirmed.
Change a pending invitee's role
In Pending Invitations, use the role dropdown on the person's row to change their role before they accept — no need to cancel and invite again.
- Changing someone to Admin or Basic User restricts them, which adds a Team Controls seat.
- Changing someone from a restricted role to a full-access role frees that seat.
Cancel an invitation
Open Pending Invitations, use the cancel action on the row and confirm with Yes, Cancel. The link in their email stops working. If an invitation went astray, cancel it and invite the person again.
Change a team member's role
Click Manage Access on the member's row, pick the new role, and click Save Changes. If the change restricts someone and your organisation has no subscription to add the seat to, the button reads Continue to payment and you'll finish at a secure checkout; the role applies once payment is confirmed. You can't change your own role.
Edit a team member's details
Open the menu on the member's row and choose Edit details to update their company function and job title.
Reset someone's two-factor authentication
If a member has lost their authenticator, passkeys and recovery codes, open the menu on their row and choose Reset two-factor. They'll set it up again the next time they sign in. This also needs the Manage organisation permission. See Two-factor authentication.
Remove a team member
Open the menu on their row and choose Remove member, then confirm. They lose access to the organisation immediately. Removing someone doesn't delete their Tourium account — it just removes them from your organisation.
Leave the team yourself
Use Remove member on your own row, then Leave team. You can't leave if you're the only member. If you're the only Owner, you must choose someone under Transfer ownership to first — the new Owner takes over as soon as you leave.
Transfer ownership
Only the Owner can do this.
- Click Transfer ownership.
- Choose the New Owner from your verified team members.
- Enter your password under Confirm your password and click Transfer ownership.
- The person you nominated sees a banner asking them to accept. When they click Accept ownership, they become the sole Owner and you become a Super Admin. They can also Decline.
Until they accept, nothing changes. While the transfer is pending you can click Cancel transfer to withdraw it; they're emailed to let them know.
If nobody appears in the list, invite a teammate first, or ask them to verify their email.
Roles
Tourium has four roles:
- Owner — full access to everything, including billing, deleting the organisation, transferring ownership and the organisation's two-factor policy.
- Super Admin — full access to everything, except deleting the organisation and transferring ownership.
- Admin — a restricted role. Starts with a useful set of features for running the account day to day (see below), which you can change.
- Basic User — a restricted role. Starts with just Touri chat and messaging, which you can extend.
Owner and Super Admin always have Full access and can't be restricted — to restrict a Super Admin, change their role first. Admin and Basic User are part of Team Controls, which is charged per restricted member; full-access roles are always free as far as Team Controls is concerned.
Per-feature permissions
For Admins and Basic Users you choose exactly which features they can use. Click Manage permissions on a member's row to open the editor — a list of switches, each with a short description. What you see depends on whether you're a supplier or an agent, and features that belong to a paid add-on only appear once your organisation has that add-on.
For everyone
- Manage network, Reply in conversations, Manage support requests, Use TOURI AI chat, Manage notification preferences.
- Manage organisation — view and edit organisation details, company profile, logo and plan.
- Manage billing — view and manage billing, invoices, usage, subscription changes and top-ups.
- Manage team — view team members, invite users and manage their roles and permissions.
- Manage integrations — connect and configure Tourplan and Dropbox, push rates to Tourplan, and import files from a connected account.
- Manage brands — create, edit and delete brands under the organisation.
- Manage shared library — upload, organise and delete files in the shared library, and attach images to properties, rooms and services. Admins get this by default, so they can add pictures to what they edit.
- Manage rate sheets — upload, review, edit and delete rate sheets, and manage the properties and services extracted from them. On agent accounts this needs the Rates Engine.
Suppliers
- Share rates, Send STO agreements, Manage specials, Manage properties & services, Manage lists.
Agents
- Create rate requests, Respond to shared rates, Sign STO contracts, View shared documents, View specials feed.
- Itinerary Builder: Manage itinerary seats, Manage itinerary templates.
- Quote to Book: Manage quotes, Manage quoting seats.
- Manage bookings — confirm supplier services, edit booking services and move bookings through their lifecycle. Needs Quote to Book.
- Manage finance — configure accounting settings and VAT, record receipts and invoices, and run revenue recognition and VAT reports. Needs Quote to Book.
- CRM: Manage the CRM, Configure the CRM pipeline, Manage CRM seats.
- Manage pricing — set selling-price rules, commission, override limits, exchange rates and rounding, and see cost, margin and every pricing report. Needs the Rates Engine. Not part of the Admin defaults, because it controls who can see your costs and margins — tick it only for the people who set prices. Owners and Super Admins have it automatically. See Selling prices.
When a member lacks a permission, the matching sidebar items and dashboard actions are simply hidden for them.
Some features also need a seat — the Itinerary Builder, Quote to Book, the CRM and the agent Tourplan integration are billed per seat. The editor shows whether the member holds a seat on each of those modules; a permission only takes effect once they do. Agents assign seats under your organisation name → Seats.
What Admins start with
Admins start with: Reply in conversations, Manage support requests, Manage network, Use TOURI AI chat, Manage notification preferences, Manage team and Manage shared library. On agent accounts they also start with Manage quotes, Manage the CRM, Manage bookings, Manage finance and Manage rate sheets (where your organisation has those add-ons).
There's no separate finance role
To give a bookkeeper access to the money side without anything else, invite them as a Basic User and switch on Manage finance (and Manage bookings, if they also need to work bookings).
Seats and your plan
Suppliers get unlimited team members at no cost — invite as many colleagues as you need. The only team-related charge is Team Controls, if you restrict someone.
Agents are billed per seat on the Standard plan:
- Every team member holds a seat. When you invite people, the form shows "Each additional team member costs {price}/month per seat" and how much your monthly bill will go up; the charge is prorated and appears on your next invoice.
- A restricted role (Admin or Basic User) adds a Team Controls seat on top of the ordinary seat, and the form includes it in the estimate.
- During a free trial you can invite your whole team; seats are billed only once your subscription starts.
- The Free agent plan allows one team member. To invite more, upgrade from Billing.
See Billing and subscriptions.
Tips
- Changing someone's role takes effect the next time they move to a new page; they don't need to sign out and back in.
- Two Basic Users can have completely different access — permissions are set per person, not per role.
- Check the 2FA Status column to see who still needs to set up two-factor authentication.
