Team Controls

For: Agents and suppliers Where to find it: Sidebar → your organisation name → Team · listed under Billing → Add-Ons for reference

Team Controls is the add-on that lets you restrict what a colleague can do. Without it, everyone you invite has full access to your organisation. With it, you can put a team member on a restricted role — Admin or Basic User — and then tick exactly which features they may use.

Team Controls never charges for people — it charges for restriction. Inviting someone on a full-access role costs nothing extra as far as Team Controls is concerned. (Suppliers can add unlimited team members free. Agents on the Standard plan pay their normal per-seat price for each member, which is separate from Team Controls — see Team management.)

What it costs

R99 per month, per restricted team member. Prices are VAT-inclusive and may change — the Team page always shows what a change costs before you confirm it.

A restricted member is anyone on the Admin or Basic User role. The full-access roles — Owner and Super Admin — never cost anything in Team Controls. So a team of ten with two people restricted pays R198/month for Team Controls, no matter how many of the other eight there are.

There is no separate "buy the module" step. Restricting your first team member is the purchase, which is why the add-on card in Billing sends you to the Team page instead of offering a switch.

Turning it on

There are two ways to buy your first restricted seat: restrict someone already on your team, or invite somebody new straight into a restricted role.

Restrict an existing team member

  1. Go to your organisation name → Team.
  2. Click Manage Access on the member's row and change their role to Admin or Basic User.
  3. Tourium shows you what it will cost. If your organisation has nothing to bill against yet — every supplier account is on the free plan, and so are agents on the free tier — you are taken through a short secure checkout that sets up billing for the add-on (Continue to payment). Otherwise the seat is added to your existing subscription, prorated for the rest of the cycle.
  4. Confirm. The role and its permissions apply as soon as the payment goes through.

Invite someone straight into a restricted role

This is the way in if you're the only person in your organisation — you can't restrict yourself, so there's nobody else to restrict yet.

  1. On the Team page, fill in the invitation form and choose Admin or Basic User as the role.
  2. If your organisation has nothing to bill against yet, the form explains that you'll be taken to a secure checkout. Click Continue to payment and complete it.
  3. The invitations are sent only once the payment is confirmed. If you abandon the checkout, nobody is invited and your team stays exactly as it was.

Only the restricted invitees are charged. If the same batch also invites people on full-access roles, they're free and their invitations go out together with the others once the payment is confirmed.

If your organisation already has a subscription, the restricted seat is simply added to it and the invitation goes out straight away.

During an agent free trial

While you're on a trial, restricted roles are free until the trial ends — choosing Admin or Basic User switches Team Controls on straight away, and billing starts only when your subscription does, at R99 per restricted member.

A restricted member starts with a small set of sensible default permissions for their role, seeded as ordinary grants — so they are visible and editable on the Team page like anything else you tick.

Freeing a seat

Loosening somebody back to a full-access role, or removing them from the team, frees their seat.

A freed seat stays paid until the end of your billing cycle, and can be reassigned in the meantime. If you loosen one person and restrict another in the same month, that costs nothing extra. Your bill drops from the next cycle.

If billing lapses

If the add-on lapses — a failed payment, or a downgrade — existing restrictions keep enforcing. Nobody silently gains access they did not have.

What you lose is the ability to restrict further: while the add-on is not active you can loosen a role but not tighten one. Restoring billing restores the full controls.

Who can do what

  • Owner and Super Admin have full access to everything and bypass permission checks. They are never billed as restricted members.
  • Admin and Basic User are restricted roles. What they can actually do is whatever you tick for them on the Team page.
  • Managing roles and permissions needs the Manage team permission (Owners and Super Admins always have it, and Admins get it by default).
  • An Owner cannot be restricted. A Super Admin can — moving somebody from Super Admin to Admin is an ordinary scoping action.

Good to know

  • Permissions are per-feature and per-person, not per-role templates: two Basic Users can have entirely different access.
  • Some features need a seat as well as a permission — the Itinerary Builder, Quote to Book, the CRM and the agent Tourplan integration are all billed per seat in their own right. A permission says "you may"; a seat says "your organisation is paying for you to". See the article for each add-on.
  • Seat charges appear on the Billing page as an add-on line item, and one-off prorated charges show under On-demand charges on the Invoices page.
