Guided setup

For: New suppliers and agents Where to find it: Automatically after you sign up; re-enter any time from the Finish setup button in the sidebar header or the Finish setting up your account card on your dashboard

Guided setup is a full-screen, step-by-step wizard that walks you through configuring your Tourium account. Every step happens right there in the wizard, and every piece of jargon is explained inline. Your progress is saved as you go, so you can leave and come back without losing anything. The sidebar shows how far you've got ("3 of 7 steps done") and roughly how long each step takes.

What's required

Only one step is required: creating your brand. Everything else is optional and can be skipped with Skip this step. If you skip a step, you're asked for a quick, optional reason ("not ready yet", "not sure what this is", and so on) — this just helps us understand where the flow could be clearer.

Until you've created a brand, you can't leave the wizard, because Tourium needs at least one brand to be usable at all. Once your brand exists, you can click Save & exit at any point and pick up later exactly where you left off.

The steps (suppliers)

  1. Brand. Tell us your business name and contact details — this is the first thing agents see when they find you. Paste your website address and Tourium will try to fill in the fields for you. Trade under more than one name? Click Add another brand. If you uploaded a rate sheet before you had an account, you'll also link it to a brand here.
  2. Team. Invite colleagues. Supplier team members are unlimited and free. If you've typed someone's details but haven't sent the invitation when you click Continue, Tourium asks whether to Invite and continue or Continue without inviting — so nobody is left out by accident.
  3. Modules. Choose from the optional modules offered for your account. Each one is explained with what it does and what it costs, and selecting one here doesn't charge you yet (see Paying for what you select). Which modules appear depends on what Tourium currently offers for supplier accounts — if none are offered, this step doesn't appear at all.
    • Team controls, if you selected it — choose which team members will hold a restricted role (see The Team controls step).
  4. Rate sheets. Upload your pricing documents. Tourium starts reading them in the background immediately — you don't have to wait for it to finish before continuing. This step does not share or sign anything; it's just about getting your properties and services set up.
  5. Connections. Create your first connection list — a saved group of agents you can share rates with in one action later.
  6. Summary. A recap of everything you've set up, an itemised monthly total for anything paid you selected, and one checkout that covers all of it (Continue to payment). If your total is zero, there's no checkout — click Finish setup and you're done.

The steps (agents)

Agents see a parallel flow with agent-specific steps:

  1. Brand (required — agents hold exactly one).
  2. Team. Invite colleagues. The step shows what a seat costs on the Standard plan and how many chat tokens it includes — you only pay for seats people actually hold, once you subscribe. The same Invite and continue / Continue without inviting check applies if you've typed someone in but not sent the invitation.
  3. Modules. Choose from the modules offered for your account. Which ones appear is set by Tourium for agent accounts and can change, so you may not see every add-on here — anything not offered in setup can still be switched on from Billing later.
  4. A short setup step for each module you chose. Only the steps for modules you selected appear:
    • Rates engine — upload your supplier rate sheets. Give every file a supplier and start the import before you continue; until you do, nothing has been sent for reading. Once the import has started, the step shows what you imported (for example "3 of 4 rate sheets were read").
    • Tourplan — connect your Tourplan account and choose who will load rates through it.
    • Itinerary builder — pick a starting template and the people who need a seat. Whichever template you pick becomes your default — every itinerary you build starts from it, and you can change it later from the Templates page.
    • Quote to Book — choose the consultants who will quote, your default sell currency and default markup, and your VAT and accounting basis.
    • CRM — choose who will work leads, contacts and agencies. A CRM seat doesn't include quote-building; give the people who quote a Quote to Book seat too.
    • Team controls — see below.
  5. Summary.

There is no longer a step for choosing a plan: every new agent account is already on a free trial of Agent Standard when setup opens.

Per-seat modules need at least one person

Team Controls, the Itinerary Builder and Tourplan rate sync are billed per person, so their setup steps won't let you continue with nobody chosen. If you've changed your mind about one of them, go Back to Modules and turn it off instead.

The Team controls step

Team Controls lets you limit what some team members can see and do. In this step you pick who should have restricted access and choose exactly what each of them can use (Edit access).

  • People you've invited but who haven't accepted yet are listed too, marked invite pending, so you can set their access before they join. Anyone invited as Admin or Basic User appears ready to restrict.
  • Owners and Super Admins aren't listed — those roles always keep full access and are always free. You can change a pending invitee's role right there to move them into the list.
  • No one to restrict yet? Click Invite a teammate to invite someone as an Admin or Basic User without leaving the step.
  • Restricted access is charged per person you restrict. Anyone you don't restrict keeps full access and stays free.

If you invite someone into a restricted role on the Team step, Team Controls switches on straight away and is shown as already on in the Modules step — it can't be switched off again during setup.

Paying for what you select

Selecting a paid module or seat during setup doesn't charge you immediately. Every selection accumulates as you go, and the Summary step at the end prices everything into one itemised total and opens a single checkout — you're never sent to more than one payment page. If you leave for checkout and come back (or cancel), your selections are still there; nothing is lost.

While you're on the payment step, a Redirecting to payment screen appears as Tourium hands you over to PayFast. Don't close the window or click again — it can take a few seconds.

If one of your choices needs a custom quote at your account size, the Summary marks it Custom quote, leaves it out of the total, and offers Contact sales.

If you leave setup without paying for what you selected, a reminder — "You picked these during setup but never paid for them" — offers Finish paying. Nothing you picked is switched on until it's paid for, but everything you set up has been saved.

If you're an agent on a free trial

Trialling agents don't check out at the end of setup:

  • A notice at the top of the wizard shows how many days of your trial are left: "Modules are free until {date}. Subscribe before then to keep them — otherwise they switch off."
  • Modules you select switch on immediately and are free for the rest of your trial.
  • The Summary still shows your monthly total, with the note "You won't be charged for any of this now. It's what your subscription will cost from {date}, when your free trial ends." You click Finish setup — there's no payment page.

To keep your modules after the trial, set up your subscription before it ends. See Billing and subscriptions.

Things still outstanding

The Summary lists any step that isn't finished under Still outstanding — a step you haven't completed yet, or one that failed (for example a rate sheet Tourium couldn't read, marked Failed). You can still complete setup; pick those up from the relevant section afterwards. A rate sheet that's still being read counts as done, and shows Extracting… under What you've set up. Steps you skipped are listed separately under Skipped for now.

Resuming

If you leave setup partway through — by closing the tab, or with Save & exit once your brand exists — a "You left setup partway through" banner offers Resume setup, and you land back on the step you were on.

Explaining terms as you go

Anywhere you see a word with a dotted underline (like "brand" or "rate sheet"), you can hover or tap it for a plain-language explanation — what it means and where it applies. There's also a full glossary at Help → Glossary if you want to browse every term at once.

What happens when you finish

Once you complete or exit setup, you land on your Dashboard, and that's also when Tourium's platform tour kicks in to show you around the rest of the app. Setup teaches you how to configure your account; the tour teaches you where things are once it's configured.

Tips

  • Nothing in setup is a one-time-only chance — every step mirrors a settings page you can revisit later (Team, Brands, Billing, Connections, and so on).
  • The rate sheet step never blocks you — if reading is still in progress, the sidebar just shows "Extracting…" and you can carry on to the next step.
  • A support link with ?step= in the address takes you straight to a specific step, useful if someone on the Tourium team is helping you troubleshoot.
